MyCarerMiles Refund & Cancellation Policy

This policy explains cancellation and refund arrangements for services purchased from MyCarerMiles, operated by CareFlows365 Ltd.
1. Our approach
We want our pricing and refund arrangements to be straightforward.
Our Historical Mileage Recovery service costs £29.99 as a fixed fee.
We do not take a percentage of any tax relief or refund you may ultimately receive.
The £29.99 fee is for the recovery, research, organisation and review service described at the time of purchase. It is not payment for a guaranteed tax refund or guaranteed successful retrieval of records.
2. Your legal cancellation rights
If you purchase our service online as a consumer, you may have a legal right to cancel within 14 days of entering into the contract, subject to applicable exceptions.
Nothing in this policy limits or removes any cancellation or refund right you have under applicable consumer law.
3. If you ask us to start immediately
Our Historical Mileage Recovery service may require us to begin work before the end of the usual cancellation period.
If you ask us to begin providing the service during that period, we will make this clear before you confirm your purchase.
Where applicable law permits cancellation but requires payment for services already provided before cancellation, we may charge a proportionate amount for the work properly performed up to the point of cancellation.
4. If we cannot obtain your historic records
We cannot guarantee that an employer or other third party will provide historic mileage records.
For example, an employer may:
- no longer hold the relevant records;
- have incomplete records;
- decline or fail to respond to a request; or
- provide information that is insufficient to establish a potential claim.
If we have carried out the agreed recovery work and the limitation is caused by the unavailability or non-cooperation of a third party, this does not automatically entitle you to a full refund, because the service you purchased is the recovery and research process rather than a guaranteed successful outcome.
We will, however, explain what we attempted, what information was obtained and what limitations remain.
5. If we cannot provide the service
If we are unable to provide the Historical Mileage Recovery service for a reason within our reasonable control, and we have not provided the service as agreed, we will assess the appropriate remedy and, where appropriate, provide a full or partial refund.
We will deal with such situations fairly and in accordance with applicable consumer law.
6. If the information does not support a claim
Obtaining records does not mean that you will necessarily qualify for tax relief.
If we complete the agreed service but the information obtained indicates that:
- you may not be eligible;
- the mileage evidence is insufficient;
- your employer's reimbursement means there may be little or no potential relief; or
- another factor prevents a viable claim,
this does not by itself mean that the service was unsuccessful or that the £29.99 fee is refundable.
The service is designed to help establish and organise information, not guarantee a particular tax outcome.
7. Refund requests
To request a cancellation or refund, contact:

- the email address used for the purchase;
- the date of purchase; and
- a brief description of your request.
We may ask for additional information reasonably required to identify the purchase.
8. Refund processing
Where a refund is due, we will normally return the relevant amount using the original payment method.
We will process approved refunds within a reasonable period and in accordance with applicable legal requirements.
9. Incorrect information supplied by the customer
If information supplied by you is materially inaccurate or incomplete and this prevents us from providing the service, we may be unable to complete some or all of the work.
This does not remove any statutory rights you may have.
10. No waiver of statutory rights
Nothing in this policy is intended to exclude, restrict or replace any consumer right that cannot legally be excluded or restricted.
Where this policy conflicts with a mandatory legal right, the legal right takes precedence.
